Clickup Utilities

We use ClickUp as our project and task management tool.

From time to time, we come across some automation need to help us better manage the Projects. For this purpose, I keep on building small utilities on ClickUp with the help of Make and other no-code tools if needed.

Here's a glimpse of what's available in this product:

• Use case 1: Schedule a one-off Google Meet discussion using a particular task - Available in Basic, Premium & Pro plans
• Use case 2: Recurring Google Meeting to discuss the list of tasks - Available in Premium & Pro plans

Use case 1

Our Problem

We wanted anyone from our team to schedule a one-off meeting from a task based on who all are assigned to the task.

At present, this functionality is not available in ClickUp. So I leveraged Make to get this workflow going for ourselves.

How we solved

So what this help you to do:

• Create a google calendar event and send a google meet link for a clickup task or a subtask
• The meeting is sent to all assignees of that task or a subtask
• The meeting start and end time is based on the task’s Start and end date
• The meeting agenda is automatically shared based on what’s available in the task description (only the text part is appended)
• The meeting link is also then added as a comment in the same task

Use case 2

Our Problem:
One of the requirements we had was more like how any standup meeting happens on a daily/weekly basis. But needed a more structured way to discuss only tasks which need attention.

At present, this functionality is not available in ClickUp. So I leveraged Make to get this workflow going for ourselves.

How we solved:

So what this help you to do:

• The scenario runs once every morning in Make
• It looks for all tasks that need discussion in your Clickup
• Checks all tasks and see if it's already available in the Recurring discussion. If not, it adds the task to the Recurring discussion
• If the task is already in Recurring discussion, it checks if it has been marked as done. If yes, it removes it from the recurring discussion
• If no then, the task will remain in the Recurring discussion task
• It will then create a google calendar event and send a google meet link.
  • The attendees will be all assignees of all tasks
  • The meeting agenda will list all title of tasks with ClickUp link
  • The time window we have defined for this is 5 pm to 6 pm. Which you can customize in Make as per your team meetings
